Route six workplace requests — decision exercise

Exercise: route six workplace requests

Original fictional scenario. No cloud account, API calls or paid services are required. Difficulty: beginner · Estimated duration: 15–20 minutes

Fernhill Labs, a fictional research company, runs Google Workspace and has Gemini Enterprise, with Frontline seats for its lab technicians. Six requests reach its AI lead in one week.

#RequestWhere the work isData it needs
1Reply to a long email thread, drawing on a related DocGmailWorkspace email and docs
2Find every mention of a supplier across Jira and SharePointSeveral systemsThird-party apps
3Study twelve audit reports for a regulator meetingUploaded filesA fixed set of sources
4Brainstorm themes for a team offsiteAnywhereNone in particular
5Reuse a proposal-outline Gem inside Google DocsDocsCustom instructions
6A lab technician wants to build their own agentGemini EnterpriseLab systems

A visiting contractor also wants to use the Gemini app with a personal account that has no qualifying Workspace edition.

Your decision

  1. Name the tool for each request: Gemini in a Workspace app, Gemini Enterprise, a notebook or the Gemini app.
  2. Explain what blocks or changes requests 5 and 6.
  3. Say what changes for the contractor.

Rubric (10 house points)

  • 6 points: one point for each request routed to the right tool.
  • 2 points: request 5 explained by where Gems can run, with the skills alternative.
  • 1 point: request 6 explained by the Frontline edition boundary.
  • 1 point: the contractor's terms named correctly.

Reference solution

  1. Gemini in Gmail — the side panel is available in Gmail and draws on emails and documents without switching tabs. Rejected: Gemini Enterprise, since all the content is in Workspace.
  2. Gemini Enterprise — its prebuilt connectors reach Jira and SharePoint.
  3. A notebook — Gemini Notebook grounds its responses in the documents you add.
  4. The Gemini app — a general assistant for brainstorming, under the company's work account.
  5. Blocked as asked: Gems can't be used in Workspace apps. Rebuild the instructions as a skill; skills work in Workspace apps, and Google says skills will replace Gems in 2027.
  6. Blocked by edition: Frontline users can only access agents an administrator has provisioned. The technician should ask for the agent to be built and provisioned.

Contractor: without a qualifying Workspace edition, the Google Terms of Service and the Gemini Apps Privacy Notice apply — not the company's enterprise protections. Keep company data out of that account.
